Role Summary We are seeking a highly organized and proactive Assistant to support the Office of the CEO (OCEO) under the guidance of the Lead Executive Assistant. This unique, hybrid role is integral to the OCEO, providing a blend of direct personal assistance and professional executive support to the CEO. The goal is to ensure seamless execution across both business and personal priorities, with a focus on day to day operation. The ideal candidate will be a resourceful, adaptable, and highly discreet professional with a 24/7 mentality. They must possess sound judgment, strong communication skills, and the ability to gracefully manage the dynamic needs of a senior leader. This position comes with the expectation to work outside of regular business hours and may involve minimal travel. Responsibilities Integrated Travel Execution (Business & Personal) Create highly detailed, end-to-end itineraries that integrate both the business agenda and all necessary personal arrangements (e.g. coordinating with culinary operations, managing dining reservations, ordering delivery meals). Manage complex domestic and international travel, including commercial and private flights, visa processing, ground transportation, and detailed itinerary creation Act as the single point of contact for all on-the-road needs, seamlessly handling both professional and personal logistics that arise during travel. Proactively manage the CEO's personal preferences, ensuring hotel rooms, transportation, and other arrangements are tailored to his specific needs at each destination. Ensure travel solutions are discreet, efficient, and cost-effective Ensure CEO travel documents and visas are always up to date Executive & Office Support Provide logistical support for OCEO events, Board meetings, and external visits that occur at our Rivian offices. Serve as the onsite point of contact for visitors and partners during key meetings. Manage expense reporting, NDAs, and other administrative tasks for the OCEO as needed. Run essential personal errands and handle ad-hoc requests required to support the CEO's well-being and efficiency while traveling for business. Provide day of calendar execution support when the Lead EA is unavailable or as needed Work closely with internal teams, including security, Executive Protection, Culinary and ground support Qualifications Bachelor’s degree or equivalent experience required 5+ years as an Executive or Personal Assistant supporting senior leadership OR high net worth individuals Ability to work 3-5 days per week in office in Irvine Proven, hands-on experience managing complex domestic and international travel itineraries, including familiarity with private aviation, visa requirements, and ground logistics. Demonstrated experience in a hybrid role that required seamlessly blending professional business support with personal logistics and assistance. Skills and Mindset Unwavering Discretion: You must have impeccable judgment and the ability to handle highly confidential business and personal information with the utmost integrity. Proactive Problem-Solving: A resourceful and forward-thinking mindset is essential. You must be able to anticipate needs, troubleshoot logistical challenges independently, and remain calm under pressure Extreme Adaptability and Availability: A flexible approach to work is required. This includes the availability to manage urgent, last minute requests and constantly shifting priorities, sometimes outside of standard business hours and across multiple time zones. Meticulous Organization: Flawless attention to detail in all aspects of travel planning, scheduling, and communication. Helpful Knowledge: Familiarity with vegan cuisine is a significant plus. Pay Disclosure Salary Range for California Based Applicants: $77,800.00 - $97,300.00 (actual compensation will be determined based on experience, location, and other factors permitted by law).
