Executive Assistant/office Manager
Job Title: Executive AssistantJob Description This position serves as the operational hub of our office, supporting the President and coordinating daily administrative, financial, and project-related activities. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a construction and manufacturing environment. Responsibilities + Enter and manage vendor bills and customer invoices. + Issue invoices and track receivables. + Verify purchase order pricing and delivery timelines. + Coordinate freight and vendor shipments. + Assist with preparation of sales estimates and proposal follow-ups. + Manage the President’s calendar and schedule meetings. + Serve as a point of contact for vendors, clients, and internal coordination. + Maintain organized digital and physical filing systems. + Support project tracking and office workflow systems. + Oversee temporary office help when needed. Essential Skills + 5+ years experience in an Executive and/or Office Manager role. + Experience entering invoicing. + Proficiency in QuickBooks. + Ability to work with customers. + Experience in office administration, bookkeeping support, or executive assistance. + High attention to detail, especially with pricing, documentation, and scheduling. + Ability to work independently and manage multiple priorities. + Proficiency in Microsoft Office (Excel, Word, Outlook). Additional Skills & Qualifications + Experience in construction, manufacturing, engineering, or project-based industries is strongly preferred. Work Environment Office Environment. Job Type & Location This is a Contract position based out of Fairfield, CA. Pay and Benefits The pay range for this position is $28.84 - $33.65/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
