We are seeking a highly qualified individual to perform a wide range of project , administrative and clerical support duties in support of 1 senior executive and their teams . This is an exciting opportunity to support earnings preparation, analyst conferences, investor meetings, and treasury activities including rating agency meetings . This individual will be responsible for organization of earnings communications, conference logistics , field trip planning for investor meetings, and key calendar management responsibilities, ensuring coordinated and effective stakeholder engagement. This is an external and forward-facing role that requires proactive engagement and collaboration with administrative staff supporting our C-suite leaders.
The ideal candidate must exercise good judgment and discretion in a variety of situations, and possess expert level written and verbal communication, administrative, organizational and strategic skills, as well as the ability to maintain a realistic balance among multiple competing priorities. This role also requires a high degree of proactivity, anticipating and addressing potential problems before they start with an innate ability to build partnerships across the organization. The role will report to t he SVP Treasur er & Head of Investor Relations .
Responsibilities:
+ Manages calendars by filtering and prioritizing meetings and phone calls; keeps the leaders well informed of upcoming commitments and responsibilities, and ensures they are each fully prepared for meetings.
+ Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Reviews, assesses, routes, answers and monitors follow up action steps on correspondence and/or meetings.
+ Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
+ Provides administrative assistance , such as drafting and editing e-mails and preparing communications on the executive's behalf
+ Organizes complex meetings, including agendas, scheduling and technology. Plays an active and visible role in successful meeting execution.
+ Builds very strong relationships with other administrative professionals (c-suite peers) and stakeholders both internally and externally.
+ Responsible for processing vendor invoices and managing expense reporting, tracking and forecasting
+ Responsible for collecting and distributing investor relations materials to executives in advance of earnings preparation meetings, conferences, and IR events
+ Coordinates travel
Qualifications:
+ Minimum of 5 years of experience supporting senior executives, preferably in a corporate e nvironment, bachelor ’ s degree preferred, or equivalent work experience in an executive level support role in a large corporate office environment.
+ Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point) and the ability to quickly learn new systems and software as require d
+ Demonstrates a strong willingness to adopt new technology and digital tools as the Investor Relations team evolves its practices.
+ Proactively embraces innovative platforms and solutions to enhance communication, streamline workflows, and support the team’s commitment to continuous improvement and operational excellence.
+ Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy
+ Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
+ Expert level written and verbal communication skills
+ Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
+ Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
+ Forward thinker who actively seeks opportunities and proposes solutions
Note:
This role will have a Hybrid work arrangement, with the expectation of working in an office (Hartford, CT) 3 days a week (Tuesday through Thursday).
Due to the nature of the work, this r ole is tightly tied to the quarterly earnings schedule requiring PTO scheduling in advance where possible.
Compensation
The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford’s total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:
$87,840 - $131,760
