We are seeking a highly motivated and customer-obsessed Executive Assistant to support multiple Directors in the Accounting department. This role requires a strong focus and execution, as it involves managing a high volume of tasks including complex calendar management and scheduling. The successful candidate will effectively prioritize amidst a flood of information and requests, ensuring the appropriate level of urgency is given. This position also entails monitoring and tracking Director meetings, priorities, and emails, acting as a proxy when necessary, managing extensive domestic and international travel and expenses, and organizing team events, town halls, and more.
Responsibilities
+ Manage complex calendar scheduling for multiple directors across several time zones using Outlook.
+ Monitor and track priorities and emails for Directors, acting as a proxy when necessary.
+ Organize team events, town halls, and other corporate functions.
+ Manage extensive domestic and international travel arrangements, including visa bookings.
+ Handle expenses using Concur, ensuring meticulous tracking and reporting.
+ Maintain high levels of integrity and discretion in handling confidential information.
Essential Skills
+ At least five years of experience supporting senior leaders.
+ Strong working knowledge of Microsoft Office and Outlook tools.
+ Exceptional verbal and written communication skills.
+ Ability to make smart and timely decisions with appropriate levels of urgency.
+ Impeccable attention to detail.
Additional Skills & Qualifications
+ Bachelor's degree preferred, but two years of college required.
+ Experience leading process improvements.
+ Experience in a fast-paced, high-tech company.
+ Experience designing processes to maximize efficiency.
Work Environment
The role is fully on-site in Seattle, requiring 40 hours a week with flexible office hours, generally from 9 AM to 5 PM, but may skew later for events and HQ meetings. Pay and Benefits
The pay range for this position is $30.00 - $32.00/hr.
