Executive Assistant I - Administration

Valleywise Health is looking for a dynamic Executive Assistant to support our Vice President of Support Services, Sr. Director of Development and Construction, and play a pivotal role in keeping critical hospital operations departments running smoothly – including Security, Guest and Volunteer Services, Facilities, and Food and Nutrition Services. In addition, the Executive Assistant will have the chance to contribute to the organization’s continued growth and transformation, including involvement with construction projects and strategic development efforts.
  In this role, you’ll coordinate daily operations, handle complex administrative tasks, and serve as a trusted partner to leadership. From preparing reports and presentations to managing schedules and streamlining communication, your expertise will help our teams deliver exceptional patient care every day. We’re seeking someone who brings exceptional customer service skills, strong problem-solving abilities, and advanced proficiency in tools like Microsoft Outlook, Teams, Word, Excel, PowerPoint, Adobe Acrobat Pro, SharePoint, and virtual meeting platforms.

Experience:  Must have a minimum of five (5) years of administrative/clerical/office experience demonstrating an understanding of the required knowledge, skills, and abilities.  Prefer experience in the healthcare industry.   Knowledge, Skills, and Abilities: Requires excellent organizational and social skills, the ability to work with professionals, and maintain confidentiality.  Must have initiative, ability to work through problems, and ability to multitask.  Must have strong computer skills, including Microsoft Office, Microsoft Word, and Microsoft Excel. Knowledge and experience with Microsoft Publisher and Microsoft PowerPoint are preferred.  Must have excellent communication skills.  Must be able to work effectively, cooperate, and collaborate with a team, as well as work independently.  Requires the ability to read, write, and speak effectively in English.  Prefer knowledge of various medical terminologies. Knowledge of medical education and databases is preferred.
