**Shift** : Monday- Friday Full time 8am-5pm
**Job Location** : Altamonte Springs, FL
**The role you will contribute:**
The executive assistant provides the support necessary for the executive staff to meet the day-to-day functions of the department. The handling of confidential information is part of daily responsibilities. The executive assistant enhances executive's effectiveness by providing executive support; appointment scheduling; document preparation and distribution; travel planning and communication with leadership, outside callers and visitors; and special projects as assigned by leadership.
**The value you will bring to the team:**
+ Schedules and maintains executives calendars, providing necessary logistics for meetings such as agenda, facilities, catering, accommodations, and technical equipment.
+ Organizes reoccuring conference calls for executives.
+ Maintains paper and electronic files of all correspondence, documents, reports, and other materials.
+ Prepares, edits, and distributes reports, agendas, letters, meeting minutes, organizational charts, and other documents.
+ Ensures all correspondence and documents have a professional appearance and are organized in a clear, concise, and professional manner with correct grammar, punctuation, and spelling.
+ Arranges travel for assigned executives and coordinates schedules, completing expense reporting accurately and timely.
+ Manages difficult and demanding situations with tact and calmness while promoting peaceful resolutions.
+ Communicates with staff, leadership, outside callers, and visitors, representing self and the organization in a professional, courteous manner.
+ Directs incoming communications according to executives schedule and priorities.
+ Deals discretely and appropriately with confidential information.
+ Other duties as assigned.
**The expertise and experiences you'll need to succeed:**
+ High School Grad or Equiv
+ 3 Work Experience
+ Windows Applications: Microsoft Outlook and other office applications, such as, Word and Excel as needed by the department
+ Basic computer navigation skills
+ Online expense reimbursement system such as Concur
+ Demonstrates ability to adapt to new situations and responsibilities
+ Demonstrates problem solving skills
**Preferred Qualifications:**
+ Associate
+ National Notary Association Notary Public (NNANP)
+ Certified Administrative Professional (CAP)
