Hourly base pay rate is $31.49 - $47.26/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate’s knowledge, skills, and abilities. We currently have an exciting opportunity for an Executive Assistant I. This person will provide seamless execution of tasks, including assistance with correspondence, extensive calendar coordination, meeting preparation, payment processing, recordkeeping, tracking budgets and management of special projects. The role requires sound judgment, decision-making, and confidentiality in handling sensitive information.
What You’ll Do
Coordinates Senior Leadership Staff Meetings and all department meetings: Manages complex, changing calendars: schedule and prioritize meetings, appointments, rooms, equipment, catering, and other resources. Arranges travel (air, hotel, transportation) and coordinates agenda with regional staff when required. Prepares presentations and other documents using MS Office with an emphasis on PowerPoint. Screens all telephone calls, takes messages, responds to questions, and directs callers to appropriate parties. Maintains, updates, or creates databases and/or database information. Codes, compiles, and files correspondences, records, documents, and reports according to an established system. Takes and prepares notes of meetings, conferences, and similar proceedings, attends conferences to provide administrative support. Sorts and distributes mail, prepares courier, Fed Ex, and USPS packages for pick-up and packages to appropriate team members and for the departments. Greets and assists visitors and arranges for escorts, as necessary. Prepares, checks, and processes expense reports and invoices. Prepares, organizes and maintains documents and files of a complex or confidential nature, and tracks budget expenditures. Interacts daily with C-level executives, leadership team, and their assistants. Coordinates requests through various corporate departments such as facilities, security, human resources, and legal as needed.

Who You Are
Minimum
High School Diploma/GED and 5 years of experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a high school diploma/GED in a related discipline and 3 years of experience or 7 years of experience in a related field Advanced knowledge of MS Office software (Word, PowerPoint, Excel, and Outlook) and Oracle required. Strong calendar management skills Excellent planning, organization, meeting coordination, and project management skills Must be detail-oriented, able to develop and maintain highly efficient work environments, and able to effectively prioritize with proven time management skills Excellent interpersonal skills with the ability to relate professionally with executive-level management and their admins Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive in a fast-paced environment Strong written and verbal communication skills, with the ability to use judgment to field inquiries professionally and efficiently Must have experience managing and maintaining confidential, business, and personnel sensitive information Motivated by a strong work ethic and positive attitude to ensure an effortless team environmentPreferred
BS/BA degree in related discipline strongly desired (i.e. Business, etc.) Experience in the technology/telecommunications industry would be beneficial.Benefits
