The Executive Assistant is responsible for providing comprehensive administrative support at the senior executive level. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, dynamic environment. The ideal candidate will be a strategic partner, ensuring travel and time optimization, driving operational efficiency, and managing high stakes situations.
This position reports to the Vice President of Human Resources and will be onsite in Vista, California.
In this role, you will have the opportunity to:
+ Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
+ Coordinate domestic and international travel logistics, including itineraries, accommodations, local meeting preparation, and expense reporting.
+ Prepare and edit correspondence, presentations, reports, and other documents with a high level of accuracy and professionalism.
+ Serve as a liaison between the executive and internal/external stakeholders, maintaining confidentiality, discretion, and professionalism; the ability to anticipate executive needs and address potential issues is required.
+ Organize and support meetings, including agenda preparation, note-taking, and follow-up actions; further will hold responsibility for tracking and managing complex and simplex projects, timelines, deliverables, and ensuring timely completion.
The essential requirements of the job include:
+ Proven experience as an Executive Assistant or in a similar administrative role supporting senior leadership; Bachelor's degree preferred or equivalent experience.
+ Strong organizational and time-management skills with the ability to prioritize effectively, influence cross-functional stakeholders to align priorities, secure resources, and maintain seamless operational flow.
+ Excellent written and verbal communication skills.
+ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams).
+ Demonstrated ability to operate both independently and collaboratively within a dynamic team environment.
Travel, Motor Vehicle Record & Physical/Environment Requirements:
+ Ability to travel <5% per business needs.
It would be a plus if you also possess previous experience in:
+ Delivering on results while remaining calm under pressure and adaptable to changing priorities.
+ Strong interpersonal skills and a service-oriented mindset.
+ Detail-oriented thought processes with a proactive approach to problem-solving.

The annual salary range for this role is $85,000 - $105,000. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. This range may be modified in the future.
This job is also eligible for bonus/incentive pay.
We offer comprehensive package of benefits including paid time off, medical/dental/vision insurance and 401(k) to eligible employees.
