Summary of position

Responsible for providing executive support to the executive leadership team. Serves as the primary point of contact for internal and external customers, business partners and to the senior leaders the facilities in the North Shore HealthCare family. The EA will have the ability to work independently on projects, from conception to completion; manage and maintain related documents, contracts and databases; develop, prepare and disseminate high level presentations, reports and meeting minutes; and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Essential Functions:

• Manages calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings

o Facilitates cross-regional coordination of travel and meeting plans

• Serves as administrative staff to the respective senior leaders in scheduling, set-up, and coordination of meetings and food, taking and maintaining minutes and assigned follow-up duties

• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response

• Provides a bridge for smooth communication between the executive’s offices and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff

• Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks

• General office duties to include answering phones, taking messages, general correspondence and filing

• Works closely and effectively with the executives to keep them well informed of upcoming commitments and responsibilities, following up appropriately

• Complies with laws and regulations applicable to position and act in accordance with North Shore HealthCare’s Compliance Program


Requirements of the position

Required Education and Experience

Associates Degree (or equivalent job specific work experience) At least 5 years of executive support experience to include some health care Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment Computer proficiency with Microsoft products Polished communication and presentation skills Exceptional organization skills, ability to multi-task Able to communicate with a multi-level, diverse work force Proven ability to handle confidential information with discretion, adaptable to various competing demands while providing the highest level of customer service and responsiveness

Preferred Education and Experience

Bachelor’s Degree Experience in a fast-paced environment Post-acute care or health care experience preferred
