The Business Services Team (BST) consists of various functional professionals, including our business management and operations team members, who work to ensure that BCG is running smoothly, efficiently, and productively. Members of this team contribute directly to the success of our business through a number of roles, including executive and administrative assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.

What You'll Do

In 2024 BCG opened a new Capability Centre in Lisbon. The Centre is a dynamic and collaborative environment bringing together a diverse range of Business Services Teams supporting and partnering with our BCG colleagues across the region and beyond.  

  

We are seeking a proactive and highly organized Executive Assistant (EA) to join our dynamic and growing team. Based in our Global Services hub in Lisbon, you will provide high-level administrative support to senior leaders from BCG Paris, ensuring their time is optimized and their priorities are managed seamlessly. In this pivotal role, you will take full ownership of complex calendars, coordinate across time zones, and manage confidential matters with discretion and professionalism. Your ability to anticipate needs, adapt to changing circumstances, and act with initiative will be essential to supporting the success of our leadership team. While your primary focus will be supporting Partners, you may occasionally assist other leaders and contribute to broader team efforts. This role offers a dynamic environment with evolving responsibilities and the opportunity to be a trusted partner in driving operational excellence. Responsibilities involved in this role may include:   

  

Key Responsibilities 

Calendar Management: Proactively manage complex calendars for assigned stakeholders, using a clear understanding of business priorities to propose smart scheduling alternatives, manage trade-offs, and ensure optimal use of time. Meeting Coordination: With minimal direction, take initiative in managing meeting logistics—proactively following up on scheduling-related emails, and coordinating complex meetings involving multiple participants across geographies. This includes arranging video conference links, booking meeting rooms, and allocating guest office space when necessary. Travel Management: Independently coordinate all aspects of travel arrangements, anticipating needs and managing point-to-point logistics. This includes booking transportation and accommodations, planning for commuting time, and ensuring passport and visa requirements are met. Timesheet and Expense Management: Timely and accurate processing of timesheets and expense reports on behalf of senior leadership, including reconciliation of monthly corporate credit card charges. Thought Partnership: Serve as a trusted advisor in time management—helping leaders focus on what matters most by guiding their scheduling decisions, ensuring they are well-informed, and cultivating a network of internal contacts to support efficient information and workflow management. Ad-Hoc Support: As bandwidth allows beyond core responsibilities, provide assistance with basic formatting and preparation of documents (Word, Excel, PowerPoint), as well as coordination of meeting logistics and planning.

What You'll Bring

Fluency in French and English with very good written and speaking skills  2+ years of experience in an extremely fast-paced environment supporting senior executives, strongly preferred  Able to multi-task in a fast-paced, deadline driven, service-oriented environment  Strong organizational skills, ability to set priorities, display attention to details and is tenacious with follow-ups  Strong customer service orientation – responds to customers’ needs with a sense of urgency, and with a “How can I help” mindset.  Proficiency in digital tools: MS Office, Outlook, Word, Excel, PowerPoint, Microsoft Dynamics, Invoicing Amex, Chrome River, Zoom, Teams
