Executive Assistant/Finance Assistant
Description We are looking for a skilled Executive Assistant to provide comprehensive support to senior leadership in a fast-paced school setting. This contract-to-permanent position is based in West Los Angeles and offers a unique opportunity to contribute your expertise in administrative coordination and finance-related tasks. Ideal candidates will demonstrate exceptional organizational skills and a proactive approach to meeting the needs of executives. Candidates should have exposure to accounting and finance in addition to an administrative skill set. On side 5 days a week. Responsibilities: • Manage executive calendars, ensuring appointments and meetings are scheduled efficiently. • Coordinate and arrange complex travel plans, including booking flights, accommodations, and transportation. • Facilitate preparation for executive meetings, including gathering relevant documents and creating agendas. • Oversee accounts payable processes and assist with financial documentation. • Support annual financial reporting activities by organizing and compiling necessary information. • Perform accounting entries and resolve discrepancies in financial records. • Act as a liaison between executives and internal teams to ensure smooth communication and task execution. • Handle confidential information with discretion and professionalism. • Monitor deadlines and follow up on action items to ensure timely completion. • Provide general administrative support, including correspondence and document management. Requirements • Minimum of 3 years of experience as an Executive Assistant, preferably with a background in finance or accounting. • Proficiency in calendar management and scheduling tools. • Strong skills in coordinating and arranging travel plans. • Familiarity with accounting processes, including accounts payable and financial reporting. • Ability to perform accurate accounting entries and resolve account discrepancies. • Excellent organizational and time-management abilities. • Strong communication skills, both written and verbal. • High level of discretion when handling sensitive information.
