About the role

 

Our Solvay Poland team, composed of 80 people, is integrated in the Solvay Silica Global Business Unit and focuses on achieving business objectives and maintaining close collaboration with global structures.

As an Executive Assistant, you will provide comprehensive support to two board members, assisting them in the execution of their daily responsibilities. You will have the opportunity to contribute to the organization and the efficient functioning of the leadership team, making a positive impact on our overall team performance. You will be accountable for two main areas:

 

Support to Włocławek Site Executive & Administrative Support: Providing logistical and administrative support to Board Members, including reporting, documentation, presentations, and translation of business materials. Office & Facility Management: Overseeing daily office operations and facility management, including coordination of external vendors (cleaning services, green area maintenance). Budget & Resource Management: Preparing and managing the administrative budget, ensuring proper execution and cost control. Meetings, Communication & Coordination: Organizing meetings and corporate visits, while ensuring smooth information flow and effective cross‑department collaboration. Sustainability & CSR Initiatives: Leading sustainability programs and corporate social responsibility actions within Solvay projects.

 

Support to Global Industrial Director Executive & Administrative Support: Providing high‑level administrative and organizational support to the Global Industrial Director, including calendar management, international travel coordination, and formatting strategic documents. Operational & Project Coordination: Supporting global industrial projects by consolidating operational data, updating dashboards, and following up on actions and deliveries with manufacturing sites. Cross‑Site & Leadership Communication: Acting as liaison between 20 manufacturing sites, global leadership, and other top management assistants to ensure timely, accurate information flow. Financial & Expense Management: Supporting expenditure tracking and compliance through Concur and related administrative processes. Confidentiality & Accuracy: Handling sensitive information with discretion while ensuring high standards of precision and reliability.

 

We offer a fixed-term contract with the intention of moving to a permanent contract, based on onsite working mode.

 

About you

 

Relevant education degree or equivalent in Administration or related field. Relevant professional experience in administrative support.

Competencies:

Written and Oral fluency in English Experience with Microsoft Office tools Problem-solving mindset

Behaviors:

Excellent communication skills Proactive and able to multitask Planning and organization

 

About the pay

 

Attractive and equitable pay for all: compensation is determined within a range to foster your development in the role. The base pay expected for this role is zł 6500 - zł 8200 per month in Poland.

Your salary may ultimately be higher or lower based on your skills and experience. Additionally, we provide a competitive total rewards package that includes a bonus and/or other incentives.
