Our client, a reputable university based in Vancouver, is seeking a polished, detail-oriented Executive Assistant to join our dynamic Executive Office. This newly created role supports senior leadership through a mix of high-level administrative support and coordination of priority projects. It’s an exciting opportunity for a corporate professional with exceptional organizational and communication skills who thrives in a fast-paced, collaborative environment.
Executive Assistant responsibilities:
Provide direct executive support to the office of the President: calendar management, scheduling, and meeting logistics. Assist in coordinating and tracking project timelines and deliverables. Prepare meeting materials, reports, and follow-up communications. Help organize institutional events, committees, and internal initiatives. Support key leaders including the President and Vice Presidents in daily operations. Take on hands-on administrative tasks (e.g., setting up rooms, managing documents) as needed. Contribute to an efficient, friendly, and high-functioning executive office.
The successful candidate has:
A polished professional with 3–5 years of experience in executive support, administration, or project coordination (corporate environment preferred). A clear, efficient communicator—both in writing and in person. Highly organized and structured, with a proactive mindset. Friendly, discreet, and adaptable—you know how to work with busy leaders and shifting priorities. Comfortable juggling detailed administrative work and fast-moving projects. Someone who takes pride in a clean workspace, a well-run meeting, and a job well done—no task is too small.
