Citizens Private Bank, located in Boston, MA, is hiring a dynamic Executive Assistant, who will be an integral member of the team, executing the strategies and operational activities related to growing the business.
Directly supporting the Private Bank Regional Market Executive, the Executive Assistant will have the ability to work independently and manage multiple projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This includes scheduling of appointments, preparation of external/internal correspondence, visitor screening, detailed travel arrangements, coordination of meetings and receptions, preparation of presentation materials and meeting agendas, office maintenance and ordering of supplies, expense reports, and inbox/calendar management. May assist in arranging large colleague meetings/events (both on-site or off-site) as needed.
Primary responsibilities:
• Support the PB Regional Market Executive with critical items like expense management, travel and scheduling, technology support, phone and email responses/monitoring, special projects and initiatives.
• Provide support to team members, as needed, in line with business deliverables.
• Prepare and record meeting notes, action items, and actively follow up, as appropriate.
• Project support may include allocating resources, assigning tasks, monitoring progress to ensure timely completion of deliverables.
• Other business support may include identifying areas for improvement, process optimization and workflow efficiency, and collaborate with internal partners to problem solve
Qualifications
• Bachelors Degree preferred
• Previous administrative support experience of a senior executive required – 2+ years minimum (calendar management, email, travel, expense reports, etc.)
• Strong written and verbal communication skills within a sophisticated/high profile client service environment required
• Competent with Technology & Systems such as SharePoint, Excel, PowerPoint, Concur (or similar software) and 3+ years experience in MS Office (Outlook/Teams)
• Attention to detail and effective time management, problem solving, organizing and prioritizing skills, required
• Ideal candidate maintains a positive attitude in an environment with quickly changing priorities
• Work effectively as part of a team in a fast-paced environment
Hours & Work Schedule
• Hours per Week: 40
• Work Schedule: M-F 8:30 AM-5:00 PM (some days will require staying later until 6:00 PM)
• Will have ability to work from home 1 day/week, once acclimated
