This multifaceted role includes executive support, event coordination, internal communications, and process improvement. If you are a proactive problem-solver with a passion for organization and efficiency, we encourage you to apply! **Key Responsibilities:** **Executive Support:** + Provide high-level administrative support to executives, including calendar management, meeting scheduling, and travel arrangements. + Draft and edit confidential correspondence and communications for internal and external stakeholders. + Prepare materials for executive meetings and ensuretimelydistribution and follow-up on action items. + Act as a liaison between executives and various stakeholders,maintainingprofessionalism and confidentiality. **Event Coordination:** + Plan and execute a variety of company events, including conferences, seminars, and team-building activities. + Overseelogisticsfor events, including venueselection, catering, audiovisual needs, and attendee accommodations. + Collaborate with internal teams to ensure seamless event execution, frominceptionto post-event evaluation. + Manage event budgets, track expenses, and negotiate contracts with vendors tooptimizecost-effectiveness. **Internal Communications:** + Develop and implement internal communication strategies to ensure consistent messaging across the organization. + Create engaging content for internal communications, including newsletters, memos, and announcements. + Facilitate communication channels between departments to enhance collaboration and information sharing. + Monitor and manage internal communication platforms to ensure information is current and accessible. **Data Management and Reporting:** + Create,maintain, and update various databases for management reporting purposes. + Analyze data toidentifyand resolve complex problems, recommending new techniques as needed. **Team Impact and Process Improvement:** + Collaborate with closely related teams to achieveobjectivesand suggest improvements to existing processes. + Impact team performance and enhance workplace culture through proactive support and organization. **Qualifications:** + Proven experience as an executive assistant, office manager, or events coordinator. + Strong organizational and multitasking skills with the ability to manage competing priorities. + Excellent written and verbal communication skills in both Japanese (native level) and English (fluent). + Proficient in MS Office Suite, office software, and event management tools. + Ability to handle confidential information with discretion. + Energetic, positive attitude with a passion for supporting teams and fostering collaboration. + Bachelor’s degree in Business Administration, Communications, or a related field is preferred. **Work Environment:** This role offers flexibility with a hybrid working model, allowing for a blend of in-office and remote work tomaintainproductivity while accommodating your lifestyle. **Why Join Us?** By joining our team, you will have the opportunity to make a significant impact on our executive operations and event management.We value innovation and collaboration and are committed to providing a supportive environment that fosters professional growth.
