Job Summary
We are hiring an Executive Assistant to provide strategic and administrative support to a leadership team in a fast-paced manufacturing environment. This role goes beyond traditional calendar and meeting support by helping leaders stay aligned on priorities, tracking action items, coordinating projects, and supporting internal communication and events. The right candidate is organized, proactive, discreet, and comfortable managing multiple priorities across departments.
Responsibilities
+ Provide high-level administrative support to executive leaders.
+ Manage complex calendars, schedule meetings, and resolve scheduling conflicts.
+ Coordinate travel arrangements and related logistics.
+ Support leadership with light project management, including tracking tasks, deadlines, and follow-up items.
+ Attend leadership meetings, capture meeting notes, and monitor action items through completion.
+ Prepare presentations, reports, and executive communications.
+ Help track strategic goals, timelines, deliverables, and performance metrics across teams.
+ Support cross-functional collaboration and help keep initiatives moving forward.
+ Assist with process improvements and support adoption of new tools and workflows.
+ Plan and coordinate internal events, employee engagement activities, town halls, and customer-facing events.
+ Support internal communications, including announcements and newsletters.
+ Partner with HR on recruiting coordination, interview scheduling, onboarding, and employee experience initiatives.
+ Handle confidential information with professionalism and sound judgment.
Qualifications
Required
+ 5+ years of experience as an Executive Assistant or in a similar strategic support role.
+ Experience supporting multiple leaders at the same time.
+ Strong calendar management and administrative support experience.
+ Strong organizational and project coordination skills.
+ Ability to manage multiple priorities and work independently.
+ Clear, adaptable communication skills across different audiences and stakeholders.
+ Ability to turn complex information into clear, concise communication and action items.
+ High level of discretion and professionalism.
+ Proficiency with Microsoft Office and collaboration tools such as Teams, SharePoint, and Asana.
+ Strong attention to detail and ability to capture accurate meeting notes.
Preferred
+ Experience in process improvement or organizational development.
+ Comfort working with data and performance metrics.
+ Experience supporting recruiting, onboarding, and employee-focused initiatives.
+ Experience in a manufacturing or distribution environment.
+ Four-year degree preferred, but not required.
Work Environment or Schedule
+ On-site role, Monday through Friday.
+ Flexible start time between 6:30 AM and 8:30 AM.
+ Approximately 95% of the work is in an office setting, with occasional time spent on the manufacturing floor.
+ Safety-toed shoes and safety glasses are required when on the floor.
+ The facility is clean, organized, and safety-focused.
Additional Information
+ Contract-to-hire opportunity.
+ Initial duration is 6 months.
+ Start date listed as May 3, 2026.
+ BG check and 5-panel drug test, including THC, are required.

Pay and Benefits
The pay range for this position is $31.00 - $39.00/hr.
