Join a rapidly growing hard-tech organization as an Executive Assistant, providing critical support to the Co-Founder & CEO. This high-exposure role demands a technically inclined professional who can thrive in a fast-paced environment, offering direct communication and prioritizing execution. You will be an integral part of the team, working closely with leadership to streamline processes and enhance efficiency.
Responsibilities
+ Manage and prioritize the CEO's calendar amidst shifting priorities.
+ Handle inbox management and proactive communication on behalf of the CEO.
+ Draft and polish external-facing communications.
+ Prepare agendas, briefing materials, and meeting documentation.
+ Track action items, deadlines, and recurring responsibilities.
+ Support technical coordination and streamline processes, focusing on automation and efficiency gains.
+ Partner with the CEO to enhance workflows using Python, Excel, and AI-driven tools.
+ Build and maintain advanced Excel-based charts, graphs, logs, and analysis.
+ Provide light IT troubleshooting support, such as syncing contacts and resolving common software issues.
+ Identify inefficiencies and propose improved working methods.
+ Create structure in unstructured environments without over-engineering solutions.
Essential Skills
+ 1–3+ years of Executive Assistant, Administrative, or Operations experience.
+ Advanced proficiency in Excel for charts, graphs, analysis, and logs.
+ Interest or experience with Python, automation, or AI tools is strongly preferred.
+ Strong written and verbal communication skills.
+ High comfort level working with senior leadership.
Additional Skills & Qualifications
+ Backgrounds in recruiting coordination, transitioning into EA roles, or experience in hard tech, engineering, or AI-driven environments are beneficial.
+ Experience supporting a highly demanding executive is a strong advantage.
+ Scrappy, resourceful, and hands-on approach.
+ Comfortable delivering direct feedback and pushing back when necessary.
+ Thick-skinned and able to operate in a high-expectation, fast-feedback environment.
+ Highly flexible with a 'no task is beneath me' mindset.
+ Calm, professional, and composed under pressure.
Work Environment
The role is fully on-site, five days per week, with core hours aligned with the CEO, generally from 8:00 AM to 6:00 PM. Availability during evenings or weekends is required as business needs arise. This level of presence and flexibility is non-negotiable.
Job Type & Location
This is a Contract to Hire position based out of Everett, WA.
Pay and Benefits
The pay range for this position is $35.00 - $40.00/hr.
