Summary

The Executive Administrative Assistant provides high‑level administrative and operational support to senior leadership by managing information flow, conducting research, coordinating logistics, and performing essential clerical and organizational tasks. This role serves as a communication and operations hub for the office, ensuring smooth, efficient, and professional daily functioning.

Key ResponsibilitiesPerform general office duties, including ordering supplies, maintaining records management systems, and performing basic bookkeeping tasks.Prepare and format documents such as invoices, reports, memos, letters, and financial statements.File and retrieve corporate records, documents, and reports.Review and analyze incoming memos, correspondence, and reports to determine significance and plan appropriate distribution.Prepare meeting agendas and coordinate logistics for committee, board, and leadership meetings.Typical Day in the RoleTeam Purpose

Support Microsoft’s Discovering Quantum organization by delivering high‑visibility administrative and operational assistance to senior leaders.

Key ProjectsSupport the growth of the robotics team, including onboarding coordination and headcount expansion tasks.Manage procurement activities such as purchase orders, vendor coordination, and equipment tracking.Provide on‑site administrative support to executives and team members based in Virginia.Day‑to‑Day ResponsibilitiesServe as a self‑directed administrative partner, offering proactive and independent support.Act as a key point of contact for cross‑divisional administrative needs.Provide backup administrative coverage as needed.Required SkillsCalendar management and executive supportAdministrative operations and process improvementEquipment procurement coordinationEvent planning and team onboardingMicrosoft Office proficiency (Word, Excel, PowerPoint)Strong verbal and written communicationExcellent multitasking, customer service, and interpersonal skillsAbility to work independently and maintain confidentialityOrganizational skills and time‑management capabilityBasic mentoring and feedback‑giving skillsEducation & ExperienceHigh school diploma or GED required5–7 years of administrative experienceExecutive‑level support experience strongly preferredPrevious Microsoft experience is a plusJob Type & Location

This is a Contract position based out of Reston, VA.

Pay and Benefits

The pay range for this position is $35.00 - $38.00/hr.
