Executive Assistant
**Position Purpose** Provide high level executive support with extensive administrative and organisational obligations to the VP Implementation and DVP Sales. Work closely with the VP Implementation to meet key deliverables and effectively time manage and coordinate activities. This role is leading and providing ADP corporate standards to ensure the effective planning of events in advance within budget and ADP Brand compliance. **Reporting Lines** APAC VP Implementation Global Payroll **Key Responsibilities** •Serve as the primary point of contact between the APAC VP Implementation and internal associates or external contacts •Provide complex calendar management for the APAC VP Implementation and DVP Sales, including travel, conferences, and events •Prioritize inquiries and requests while troubleshooting calendar conflicts making judgements to ensure smooth day-to-day engagements •Coordinate complex international & domestic travel for VP Implementation and DVP Sale ensuring compliance to ADP travel policies and adhering to visa requirements •Support with the execution of large associate and customer events and meetings providing oversight in budgetary and business guidance of overall event (Town Halls, Christmas Party, Sales Kick Off etc.) •Organise internal & external venues and resources to support meetings and events •Manage initiatives and programs on behalf of the office of the GM (BRG’s, GM awards, Employer Brand, Technology & Tools etc.) •Coordinate international visitors and manage itineraries and travel arrangements for Global Payroll •Coordinate onboarding activities for GP Implementation throughout all our APAC location. •Maintain documents and record keeping for authorization requirements of the VP Implementation, including FTE counts and movements •Prepare, manage, and submit expense reports for the VP Implementation and DVP Sales •Maintain and update travel practices in line with Policy and manage the relationship with our external travel vendors •Prepare presentation material as requested by VP Implementation •Prepare and communicate internal communications on behalf of Senior Leaders (as required) •Provide back up support for APAC GP Implementation SLT Executives (as required) •Provide Ad hoc support to the APAC GP Implementation SLT team (as required) **Experience (essential/desired)** •5+ years’ experience directly supporting a senior executive •Experience working in a global, matrix environment •Demonstrated strong influencing and negotiation skills •Highly organised, proactive, with the ability to forward plan an executive’s requirements and ensure their adherence to schedule •Ability to work autonomously, prioritise multiple tasks and maintain a proactive and flexible work approach •Ability to foresee and mitigate potential risks •Proven ability to work in high-pressure environments whilst maintaining high attention to detail and focus on results •Excellent verbal and written communication skills •Demonstrated discretion and ability to maintain complete confidentiality **Qualifications** Relevant business qualification (desirable) **Skills** •Stakeholder Management •Results accountability •Project Management •Executive presence •Advanced Microsoft Office •Time management •Organisational skills •Negotiation and influencing •Interpersonal skills **A little about ADP:** We are a comprehensive global provider of cloud-based human capital management (HCM) solutions that unite HR, payroll, talent, time, tax and benefits administration and a leader in business outsourcing services, analytics, and compliance expertise.
