Executive Assistant to the CEO (On‑Site) Location: Cockeysville, MD Employment Type: Contract (3 months, with potential for extension or temp‑to‑perm depending on performance) Schedule: Full‑time, on‑site, Monday–Friday, approximately 8:00 AM–5:00 PM Compensation: + Pay Range: $28.00–$38.00/hr (W2) + Benefits Eligible (Medical, Dental, Vision, 401k & more) + Business professional dress required About the Role We are seeking a highly skilled, experienced Executive Assistant to provide direct, high‑level administrative and project management support to the Chief Executive Officer. This is a critical, visible role as the CEO’s right-hand person; you manage executive operations, board governance, communications, and complex scheduling. This position requires exceptional judgment, professionalism, and the ability to anticipate needs in a fast‑paced environment. Prior experience supporting a CEO and a Board of Directors/Trustees is required. Key Responsibilities Executive Support + Serve as the primary administrative partner to the CEO, ensuring alignment with organizational and strategic priorities. + Manage a complex executive calendar, prioritizing high‑impact activities and proactively adjusting to shifting demands. + Anticipate needs and coordinate appropriate resources, information, and stakeholders. + Draft, edit, and prepare executive‑level communications, letters, memos, reports, and presentations. + Plan and manage CEO travel, meetings, retreats, and events, including logistics, briefing materials, and stakeholder coordination. + Research and resolve issues directed to the CEO, using discretion and sound judgment. Board Governance & Executive Operations + Act as the primary liaison to the Board of Trustees. + Draft, edit, and manage board policies, procedures, agenda drafts, and governance documents. + Prepare materials for board meetings, including timely distribution of board packets and related governance materials. + Transcribe board and committee meeting minutes; ensure accurate posting to the board portal (BoardEffect). + Coordinate with the CEO, CFO, and committee clerks to finalize meeting content and documentation. + Support governance education by preparing materials that enhance alignment with strategic priorities. Project & Office Management + Organize and facilitate leadership and board retreats (on‑ and off‑site), including venue evaluation, vendor negotiations, budgeting, and logistical planning. + Create polished, confidential documents, analytics, and presentations for executive and board use. + Maintain organizational forms and documentation to ensure consistent branding, formatting, and archival standards. + Support workflow improvements, communication processes, and administrative efficiency across the organization. + Manage and execute a variety of projects that may have organizational‑wide impact. Required Qualifications + 3–5+ years of Executive Assistant experience supporting senior executives in a C‑suite environment. + Demonstrated experience supporting a Board of Directors or Trustees. + Bachelor’s degree preferred; equivalent professional experience considered. + Proficiency in Microsoft Office Suite and modern executive support technologies; experience with board portal systems (e.g., BoardEffect) highly preferred. + Exceptional written and verbal communication skills. + Strong project management and organizational abilities. + Ability to work independently while fostering a collaborative environment. + Experience in accounting, finance, or economics highly preferred. If the selected candidate performs exceptionally well, there may be consideration for temp‑to‑perm hire (not guaranteed). + Candidates should be prepared to submit samples of previous executive‑level work, such as communications, board materials, or writing samples. Job Type & Location This is a Contract position based out of Cockeysville, MD. Pay and Benefits The pay range for this position is $28.00 - $38.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
