**About the Role**
We are seeking a highly organised, proactive, and discreet Executive Assistant to provide exceptional support to our leadership team. This role is ideal for someone who thrives in a fast‑paced environment, demonstrates strong attention to detail, and brings a positive, solutions‑focused mindset to their work.
As the Executive Administrative Assistant, you will play a key role in enabling our leaders to operate effectively by managing priorities, coordinating meetings, supporting communications, and ensuring seamless day‑to‑day operations.
**Key Responsibilities:**
+ Provide comprehensive administrative support to senior leaders, including calendar management, meeting coordination, and preparation of agendas and materials.
+ Coordinate domestic and international travel arrangements, including schedules, accommodations, and itineraries.
+ Prepare and submit Travel & Entertainment (T&E) expense claims for directors in accordance with J&J policies.
+ Design high‑quality, visually engaging slide decks for leadership meetings, reviews, and communications when capacity allows.
+ Support the preparation of reports and correspondence with accuracy and professionalism.
+ Manage confidential information with the highest degree of discretion and integrity.
+ Track and follow up on key actions, deadlines, and priorities to ensure smooth execution.
+ Liaise with internal and external stakeholders on behalf of leadership.
+ Organise team meetings, events, and workshops, including logistics, communications, and documentation.
+ Process expenses and maintain accurate records in line with company policies.
+ Support onboarding, equipment setup, and administrative needs for new team members.
+ Maintain up‑to‑date departmental organisational charts.
+ Act as holder of the department Meetings & Events (M&E) credit card.
+ Serve as Program Administrator for organisational Citibank credit cards.
+ Process purchase orders and invoices and resolve payment issues efficiently.
+ Continuously look for opportunities to streamline processes and improve team efficiency.
**Qualifications & Experience:**
+ Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting senior leaders.
+ Strong organisational skills with the ability to manage multiple priorities effectively, with exceptional attention to detail.
+ Excellent written and verbal communication skills.
+ Demonstrated professionalism, discretion, and sound judgement.
+ Proficiency in MS PowerPoint, with strong working knowledge of Excel, Word, and Teams.
+ Experience creating high‑quality, professional presentations for senior leaders or cross‑functional teams.
+ Ability to work independently, anticipate needs, and proactively identify and resolve issues.
+ Experience thriving in a fast‑paced, dynamic environment.
+ Strong interpersonal skills with the ability to build effective, positive relationships across the organisation.
