Executive Assistant

Working in the Executive Office, you will work with the GM and team to provide quality, timely administrative support encompassing: typing, filing, answering telephones, taking messages, maintaining appointment calendar, making travel arrangements and other general office duties for the office of General Manager. Administrative support is also provided to other Directors and departments as required.

 

Key Tasks

 

·        Receipt and distribution of incoming correspondence

·        Prepare routine correspondence and reports for GM and directors

·        Maintain various filing systems ensuring accurate capture and storage of information

·        Coordinate hotel visits by VIPs and guests of the GM

·        Schedule meetings on behalf of GM and Directors as required

·        Attend and record minutes for meetings and distribute as required

·        Manage, investigate and reply to our guest feedback through various online channels

·        Support all departments with administration tasks as required

·        Maintain a working understanding of the Hotel’s emergency procedures

·        Build and maintain a thorough knowledge of the hotel’s services, and facilities

·        Report maintenance deficiencies and/or workplace hazards

·        Actively participate in training and maintain professional competency
