Job Description
The Executive Assistant plays a crucial role in supporting the Executive Secretary by managing and handling administrative tasks to ensure smooth business operations within the Executive Office. This position involves working closely under the direction of the Executive Assistant.
Responsibilities
+ Provide administrative support to the Executive Secretary by handling a variety of tasks as directed by the Executive Assistant.
+ Answer, assist, and triage incoming phone calls and emails through a shared email box.
+ Complete a broad range of administrative tasks to facilitate the Executive Secretary's ability to lead the organization effectively, including assisting with special projects, designing and producing PowerPoint presentations, composing and preparing correspondence, and making travel arrangements.
+ Arrange and handle logistics for meetings and events, including scheduling, compiling materials, coordinating catering setup and cleanup, and providing hospitality.
+ Build long-lasting relationships both externally and internally.
+ Handle notifications to trustees, leadership, locals, chapters, and employers as appropriate.
+ Periodically provide safe and timely transport of guests traveling to and from various area airports and terminals.
+ Learn essential functions of the Executive Assistant role to provide backup support.
+ Perform other general administrative duties as assigned.
Essential Skills
+ 3+ years of administrative experience, ideally supporting executives.
+ Strong experience in Microsoft Office Suite (Word, Outlook, Excel, Teams, etc.).
+ Professional attitude.
+ Ability to screen calls for the office of the Executive Secretary.
+ Proficiency in calendaring, event coordination, and using Concur.
Additional Skills & Qualifications
+ Experience in an executive office environment preferred.
+ Proficient with PowerPoint, Outlook, and OneNote.
+ Strong verbal and written communication skills.
+ Ability to work independently and complete a high volume of tasks with little or no guidance.
+ Ability to multitask and meet deadlines.
+ Demonstrated ability to manage complex issues while maintaining a flexible, positive, and cooperative demeanor.
+ Timely response to operations leaders and stakeholders to facilitate informed decision-making.
+ Troubleshooting and investigating issues collaboratively.
+ Professional image in the office.
+ Clean driving record required.
Work Environment
Initially, the role requires a 100% onsite presence until conversion. Afterward, it transitions to an alternating hybrid schedule that switches quarterly, with flexibility in hours from 8am to 5pm, allowing occasional flex to an 8:30am start. Core working days may shift between Monday to Wednesday and Wednesday to Friday. This position offers a hybrid work environment after the first six months.

This is a Contract to Hire position based out of Rockville, MD.
Pay and Benefits
The pay range for this position is $24.04 - $34.62/hr.
