Executive Assistant
Description We are looking for a detail-oriented and organized Executive Assistant to provide vital support to a small, collaborative team in Charlotte, North Carolina. This role involves managing administrative tasks, overseeing bookkeeping functions, and ensuring smooth communication across the team. The ideal candidate will be proactive and skilled in financial operations, with a strong ability to maintain accuracy and efficiency. Key Responsibilities Administrative & Executive Support + Collaborate with fellow administrators to deliver exceptional service and consistent support across the organization. + Manage complex travel logistics for investment professionals, including: + Full-cycle travel planning + Monitoring flight schedules and adjustments + Coordinating group travel and aligning schedules across teams + Completing expense reports and related documentation + Maintain and manage executive calendars; proactively identify conflicts and respond quickly to unexpected scheduling changes. + Coordinate board meetings, investment-related travel, and multi‑party scheduling needs. Office & Operational Support + Organize internal and external meetings, including onsite and offsite arrangements. + Partner with third‑party vendors and service providers. + Occasionally assist with select personal requests (e.g., family travel) for senior leaders. + Build strong, professional relationships with executives across partner companies, advisory contacts, and other external stakeholders. + Support general office operations and maintain shared spaces as needed. + Own long-term administrative projects and manage them with minimal oversight. + Maintain the highest level of confidentiality, professionalism, and discretion. Team Culture & Function-Specific Expertise + Demonstrate a positive attitude, reliability, and a commitment to excellence. + Offer assistance proactively and complete tasks independently. + Over time, develop subject‑matter expertise in certain operational areas (e.g., events, IT coordination, philanthropic activities, office services, office relocations). + Experience with office moves is helpful but not required. Requirements Qualifications + Bachelor’s degree from a four-year college or university preferred. + Minimum of 5+ years supporting senior executives as an Executive Assistant, Office Manager, or similar role. + Strong technology skills, exceptional organization, and the ability to juggle shifting priorities. + Excellent written and verbal communication.
