Job Summary and Responsibilities
We are seeking an indispensable and strategic Executive Assistant to provide high-level administrative leadership and support to our Vice President. This role requires exceptional organizational skills, discreet judgment, superior communication, and advanced tech proficiency.
You will expertly manage daily operations, acting as a primary point of contact, representing the executive, and independently handling routine matters. Key responsibilities include:
Executive Support: Proactively manage complex calendars, appointments, and travel arrangements; prepare sensitive documents and presentations; take and distribute meeting minutes; and ensure the VP is fully prepared for all engagements.Communication & Information Management: Professionally screen and respond to calls and correspondence; coordinate internal and external communications; maintain comprehensive filing and record-keeping systems; and create and update reports.Operational & Project Coordination: Facilitate departmental policies and procedures; assist with payroll, expense reports, and contract administration; coordinate special events; and manage office supplies.Strategic & Compliance Support: Assist with marketing needs, manage petty cash/p-card reconciliation, coordinate recognition awards, and oversee crucial compliance submissions for integrity disclosures, internal representation letters, and sensitive legal/contract processes.Team Leadership (as assigned): Manage and/or supervise assigned staff/volunteers.Job Requirements
Education:
Required: Bachelor's degree in Administrative Assistant, Medical Administrative Assistant, Business, Office Administration, Health Science, or a related field.OR A combination of relevant education and equivalent administrative support experience may be considered. (Two years of related experience will be credited for each one year of education not obtained.)Experience:
Required: Minimum of four (4) years of experience in executive support and project management.Preferred: Experience in an acute care hospital or healthcare facility.
Licensure/Certifications:
