Executive Assistant
Description We are looking for a highly organized and detail-oriented Executive Assistant to provide exceptional support in a fast-paced environment. This is a Contract position based in New York, New York, offering an opportunity to work closely with executives and contribute to the smooth operation of daily activities. The ideal candidate will excel in managing schedules, coordinating travel, and handling administrative tasks with efficiency and professionalism. Responsibilities: • Manage and organize executive calendars, ensuring meetings and appointments are scheduled effectively. • Coordinate and arrange domestic and international travel, including flights, accommodations, and itineraries. • Handle expense reporting, ensuring accurate and timely submission of all financial documentation. • Oversee office operations, ensuring supplies and resources are maintained and the workspace remains functional. • Facilitate executive meetings by preparing agendas, taking minutes, and ensuring follow-up actions are completed. • Act as a point of contact for internal and external stakeholders, ensuring clear communication and efficient information flow. • Address time-sensitive requests and prioritize tasks to meet deadlines. • Provide administrative support for special projects and initiatives as assigned. • Maintain confidentiality and discretion while handling sensitive information. Requirements • Proven experience as an Executive Assistant or in a similar administrative role. • Strong skills in calendar management and scheduling. • Expertise in arranging and coordinating complex travel plans. • Proficiency in expense reporting and financial documentation. • Excellent organizational and time-management skills. • Ability to work independently and handle multiple priorities in a fast-paced environment. • Strong communication skills, both written and verbal, with attention to detail. • Discretion and professionalism in managing confidential information.
