About the Role

 

Are you a proactive, people-centric professional with a passion for supporting senior leadership? We are seeking an Executive Assistant to provide comprehensive support to the President of Oral Product, ensuring smooth day-to-day operations and enabling strategic focus. This is a dynamic role combining executive-level administrative assistance with a strong emphasis on fostering a positive and engaging work environment across our Oral Products organization.

 

Key Responsibilities

 

Executive Support:

 

Serve as the primary point of contact for the PresidentManage complex calendars, travel arrangements (including expense management and visa applications), and coordinate meetingsPrepare briefing materials, presentations, and reports for internal and external engagementsAnticipate needs and provide relevant insights for decision-making 

 

Event Coordination:

 

Organize and coordinate department events (workshops, trainings, dinners)Identify venues, negotiate rates, manage logistics, send invitations, book rooms, and arrange cateringCentralize documentation and agendas

 

Liaison & engagement:

 

Facilitate communication between the President and senior leadership teams across global offices and functionsCollaborate with Workplace Experience and People & Culture teams to create a positive work environment in the Stockholm office

 

Additional Support:

 

Assist other leadership team members with travel, agendas, and administrationEnsure smooth onboarding for new hires and transfers to Stockholm (support with various local administration aspects)

 

Who You Are

 

You have proven experience as an Executive Assistant or in a similar capacity, supporting senior executives within fast-paced, international environments. Your discretion and trustworthiness are essential in handling sensitive information. You demonstrate the ability to work independently, managing tasks with full autonomy while maintaining exceptional organizational and multitasking skills. Your proficiency in MS Office and collaboration tools enable you to operate efficiently in a modern workplace. Strong interpersonal and communication abilities are among your strengths, and you are proactive in problem-solving and anticipating the needs of executives. Fluency in both English and Swedish, both verbal and written, is also required for this position.

 

Education & Experience

 

Vocational education or high school diploma requiredExperience supporting senior executives is essential
