Role SummaryWe're seeking an Executive Assistant who will be tasked with providing sophisticated, high-level executive support to the CEO. This person will act as a strategic partner who anticipates needs, manages complex priorities, and serves as a trusted representative of the executive office both internally and externally. This role requires a senior, experienced professional who can stay two steps ahead, align with the corporate vision, and operate independently at the highest level with exceptional resourcefulness and resilience.
Key Responsibilities Manage the CEO's complex calendar, correspondence, and travel arrangements with exceptional attention to detail and foresight Act as a strategic gatekeeper, prioritizing inquiries and requests while maintaining strong relationships with internal and external parties Prepare comprehensive briefing materials for meetings, presentations, and events, ensuring the CEO is thoroughly prepared for all engagements Coordinate and attend executive meetings, capture key decisions, and drive follow-up actions to completion Represent the CEO in communications with senior leadership, board members, clients, and partners with appropriate authority and discretion Manage sensitive and confidential information with absolute integrity and professionalism Anticipate the CEO's needs and proactively resolve issues before they arise Facilitate efficient decision-making by gathering necessary information and connecting the CEO with appropriate resources Support special projects and initiatives as assigned by the CEO Organize internal events including Town Halls, Holiday Parties, and Executive Offsites Screen all email correspondence and ensure responses are properly addressed Respond to changes at a moment's notice, even outside traditional working hours, understanding that the role demands flexibility beyond regular office hours Leverage digital tools and platforms to enhance executive productivity and streamline workflows Facilitate virtual and hybrid meetings with flawless execution and technical proficiency Required Qualifications 7+ years of executive support experience at senior leadership level, preferably supporting C-suite executives 5+ years of experience directly supporting a National CEO in a global company Demonstrated experience in a fast-paced corporate environment, ideally in media, advertising, or related industries Exceptional organizational skills with proven ability to manage multiple high-priority tasks simultaneously Superior written and verbal communication skills with ability to interact effectively at all levels Advanced proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Teams, Word) Proven ability to exercise judgment, discretion, and maintain confidentiality Strong problem-solving skills with ability to work independently and take initiative Experience with calendar management and travel administration Event planning experience Demonstrated resourcefulness in solving complex problems with limited resources Proven resilience in high-pressure situations and ability to adapt to changing priorities Preferred Qualifications Experience in media, marketing, or advertising industry Knowledge of WPP Media’s business operations and organizational structure Experience supporting executives in global organizations Experience working with colleagues across multiple time zones Bilingual (French/English) Project management experience or certification Experience with digital productivity tools, AI assistants, and collaboration platforms Knowledge of data visualization and business intelligence tools Success Attributes Senior professional with "been there, done that" experience who can provide context at an executive level Strategic thinker who can align with and advance the corporate vision and CEO's priorities Proactive professional who stays two steps ahead, anticipating needs before they arise Self-directed problem-solver who can work autonomously at the highest level Business acumen to understand organizational context and industry dynamics Excellent judgment to appropriately escalate, delegate, or resolve matters independently Ability to defer and push topics to the right person knowing what the need is Adaptable and resilient under pressure with ability to pivot quickly as priorities shift Diplomatic and discreet when handling sensitive information and situations Exceptional interpersonal skills to build relationships across all levels of the organization Positive "can do" attitude with excellent work ethic Ability to defuse potential conflict and sensitive situations Resourcefulness in finding creative solutions with limited time or resources Digital fluency and ability to leverage technology to enhance executive productivity Emotional intelligence and cultural sensitivity in a global business environment Commitment to continuous learning and adaptation to evolving business needs Life at WPP Media & BenefitsOur passion for shaping the next era of media includes investing in our employees to help them do their best work, and we’re just as committed to employee growth as we are to responsible media investment.
