We are seeking a highly skilled and professional Executive Coordinator to provide advanced administrative support to the Chief Executive Officer (CEO) and General Counsel. This role requires a proactive individual with strong organizational skills, excellent communication abilities, and prior experience supporting executive leadership and board-level functions.
Responsibilities
+ Provide direct administrative support to the CEO and General Counsel, including calendar management, travel coordination, and meeting logistics.
+ Prepare and distribute agendas and materials for board and executive meetings.
+ Attend board meetings and accurately transcribe minutes; ensure timely distribution and archival.
+ Draft and edit correspondence, reports, presentations, and other executive-level documents.
+ Maintain confidentiality and handle sensitive information with discretion.
+ Coordinate special projects and initiatives as assigned by executive leadership.
+ Liaise with internal departments and external stakeholders on behalf of the CEO and General Counsel.
+ Supervise and train support staff as needed.
Essential Skills
+ Proficiency in calendar management, executive support, and administrative support.
+ Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Experience in travel coordination and event management.
+ Ability to draft and edit executive-level documents.
+ High attention to detail and accuracy.
+ Exceptional organizational and time-management abilities.
+ Strong written and verbal communication skills using college-level English.
Additional Skills & Qualifications
+ Education: BA or BS degree from an accredited college or university and three years of progressively responsible experience, OR AA degree and five years of progressively responsible experience, OR equivalent combination of education and relevant experience.
+ Demonstrated ability to take and transcribe accurate meeting minutes.
+ Experience in supervising and training administrative staff.
+ Familiarity with project management, policy development, and report creation.
+ Professional demeanor and ability to interact with high-level stakeholders.
+ Prior experience in a healthcare or nonprofit setting is preferred.
+ Familiarity with board governance practices and executive operations is preferred.
Work Environment
The work is conducted onsite from Monday to Friday, 8am-5pm, at the corporate office, not a medical clinic. Job Type & Location
This is a Contract to Hire position based out of Stockton, California.
Pay and Benefits
The pay range for this position is $35.31 - $35.31/hr.
