What You'll Do

This role is defined as a dedicated assistant assigned to 3 MDPs (including senior MDPs in first 6 months or 1 year) for routine admin/secretary support including but not limited to travel logistics, external/internal meeting arrangements, calendar management, and business-related matters (bidding coordination, PA-based matters, client relationship maintenance, and so on). The candidate should be an experienced EA with related working experience in consulting firm or MNCs supporting multiple executives.

 

Primary duties and responsibilities include, but not limited to:

[Fundamental secretary support] Handle travel logistics, meeting scheduling, calendar management[Travel logistics] Plan travel logistics smartly based on the pattern of MDPs’ business requirements and seek the most effective options, while taking careful considerations of all trade-offs into account; Anticipates and co-ordinates point-to-point travel and logistics needs, including but not limited to directions, commuting time and ground transportation, passport, and visa processing.[Meeting coordination] effective communications with other EAs for meeting scheduling, accurate and proper message (time zone, attendees, location, virtual meeting tool) to relevant members, timely follow-ups for conflicts or changes that happened to meetings.[Calendar Management] With minimum instruction, proactively follows up on emails when copied, and determines the most appropriate next steps from a scheduling standpoint; Actively managing choices of third parties, preempting conflicts, and solving them without detailed guidance and doing own research to propose thoughtfully considered options.[Business-related matters] business-related work/business involvement[Support business development] Actively involved in the process of pitching a new client and communicating with relevant teams for material preparation.[Client workshops and events] Coordinate the logistic arrangements and provide onsite support for client related activities including meetings, workshops, events and so on.[Client database management] Proactively manages the client contact/database, ensuring new contacts are accurately and promptly added.[Client relationship] Arrange seasonal greetings to clients by MDPs’ requirements; proper communications/behaviors when in a conversation or interaction with clients or clients’ EA[PA admin support] When the assigned MDP/Senior MDP is in the node role­[Potential client calls] Receive the potential client calls transferred from receptionist and consolidate the information for MDPs’ review; Support MDP for next step’s communication if it is required.[PA meetings/activities] Coordinate/Lead the PA related activities’ organization and establish cooperation in the smaller EA group, provide onsite support if it is required.[Admin. support to PA] Other admin work not limited to meeting materials’ preparation, meeting minutes, vendor/payment process and so onOther responsibility and team contributions[Personal/Family matters] Assists MDP in other administrative tasks to leverage time, which may include to prepare cost of living reimbursement, medical insurance claims and keep tracking of travel days associated with tax filing in overseas, APEC application, etc.[Extend support to BCG visitors] Provides professional support to BCG visitors, assists with settling in requirements and other logistic arrangement coordination, and greets as appropriate.[Teamwork with other EAs and BST teams] Performs general office duties/assistance as required, provides back-up to other secretaries, cooperation with other admin team to well support consulting team.

What You'll Bring

Bachelor’s degreeOver 6 years of secretarial experience and at least 3 years in senior secretarial positions gained in professional services or multi-national companies.Excellent spoken and written communication in English and Mandarin.Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)Able to perform well in a fast-paced, deadline driven and service-oriented environmentFlexible interpersonal skills and able to work effectively with all levels of staffConvey a strong positive personal and professional image with excellent standards of professional behavior and ethicsExcellent organizational skills, ability to set priorities, attention to details and is tenacious with follow-upsTeam player, highly motivated, energetic, resourceful, and friendly
