Description
We are looking for an experienced Executive Assistant to provide exceptional support to senior executives in a fast-paced environment. This position is located in Alpharetta, Georgia, and offers an exciting Contract to permanent opportunity in the motor freight forwarding industry. The ideal candidate will excel at managing schedules, coordinating travel plans, and facilitating seamless communication, ensuring the executives they support can focus on strategic priorities.
Responsibilities:
• Manage executive calendars, scheduling appointments and ensuring timely updates for all commitments.
• Coordinate and arrange domestic and international travel plans, including flights, accommodations, and itineraries.
• Organize and prepare materials for executive meetings, ensuring all necessary documentation is readily available.
• Handle detailed email correspondence and communications on behalf of executives, maintaining a high standard of professionalism.
• Utilize Microsoft Excel, Teams, Word, Smartsheets and other tools to create reports, presentations, and maintain records.
• Act as a liaison between executives and internal teams, ensuring effective communication and collaboration.
• Monitor and prioritize incoming emails, addressing urgent matters and delegating tasks where necessary.
• Maintain confidentiality and discretion when handling sensitive information.
• Troubleshoot scheduling conflicts and proactively resolve any logistical challenges.
• Provide general administrative support, including filing, data entry, and other tasks as needed.
Requirements • Proven experience in an Executive Assistant role, preferably supporting senior-level executives.
• Proficiency in Microsoft Office Suite, including Excel, Word, and Teams.
• Strong organizational and time-management skills, with the ability to multitask effectively.
• Excellent written and verbal communication skills, with attention to detail.
• Demonstrated ability to coordinate complex travel arrangements and itineraries.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Familiarity with managing email correspondence and prioritizing tasks.
