Description We are looking for a detail-oriented and proactive Executive Assistant to support senior management in a dynamic and fast-paced environment. This Contract-to-permanent position requires exceptional organizational skills, discretion, and the ability to manage multiple priorities efficiently. Based in Jacksonville, Florida, this role offers the opportunity to contribute significantly to the operations of a respected organization while fostering a collaborative and engaging work atmosphere.
Responsibilities:
• Organize and maintain executive calendars by scheduling meetings, conferences, and travel arrangements.
• Act as a liaison for inquiries, directing them appropriately while maintaining professionalism.
• Uphold confidentiality in handling sensitive donor and organizational information.
• Create and manage efficient filing systems to ensure accurate documentation and retrieval of meeting records.
• Monitor office supply levels, anticipate needs, and coordinate timely procurement.
• Provide support during monthly board meetings, including preparation and staffing alongside senior leadership.
• Collaborate with team members to accomplish organizational goals and ensure seamless operations.
• Coordinate travel arrangements, including booking flights, accommodations, and transportation.
• Assist in editing and preparing documents with attention to detail and accuracy.
• Contribute to cultivating a positive and productive work environment through effective communication and teamwork. Requirements • Proven experience as an Executive Assistant, with a minimum of five years in a similar role.
• Strong calendar management skills, including handling multiple schedules effectively.
• Demonstrated ability to arrange and coordinate travel plans, ensuring efficiency and accuracy.
• Proficiency in Microsoft Office products, particularly Excel, and familiarity with database systems.
• Exceptional interpersonal communication skills, with a focus on discretion and confidentiality.
• Bachelor’s degree preferred but not required; equivalent work experience will be considered.
• Ability to manage time effectively and prioritize tasks in a high-pressure environment.
