Description Job Posting: Executive Assistant Location: Bloomfield, CT Employment Type: Contract to Hire Position Overview We’re seeking a highly organized and digitally savvy Executive Assistant to provide top-tier administrative support to our leadership team. In this hybrid role, you will handle traditional executive assistant responsibilities while leveraging technology to drive operational efficiencies and streamline team processes. Key Responsibilities: + Manage and optimize busy executive calendars, ensuring seamless scheduling coordination for meetings, events, and travel. + Prepare and edit correspondence, reports, and presentations with exceptional attention to detail. + Plan and organize executive travel, including flights, accommodations, and itineraries. + Coordinate cross-functional projects and meetings, ensuring timely communication and task follow-through. + Assist with standard administrative tasks such as expense reporting, filing, and document management. + Support workflow automation and digital initiatives by using platforms like CRM tools, cloud-based solutions, and productivity software. + Act as a key point of contact for internal and external stakeholders, delivering excellent service and ensuring confidentiality for sensitive matters. + Proactively identify and address operational inefficiencies to improve output and streamline administrative processes. Key Qualifications: + Experience: 3+ years in a similar executive support or administrative role; experience in fast-paced or hybrid environments is preferred. + Technical Skills: Proficiency in tools such as [Microsoft Suite/Google Workspace], [CRM software like Salesforce], and [workflow management tools like Asana or Trello]. Familiarity with automation tools is an asset. + Communications Abilities: Strong verbal and written communication skills, with the ability to interact confidently across all organizational levels. + Organizational Strengths: Meticulous attention to detail, strong multitasking capabilities, and the ability to adapt to shifting priorities. + Service Mindset: A proactive problem-solver who is resourceful, approachable, and prioritizes customer success at every level. + Education: Bachelor’s degree preferred or equivalent combination of education and experience. Requirements • Proven experience as an Executive Assistant or in a similar administrative role supporting senior leadership. • Proficiency in calendar management and scheduling software. • Strong skills in arranging and coordinating travel plans, including international travel. • Exceptional organizational and time-management abilities. • Excellent written and verbal communication skills. • Ability to handle sensitive information with integrity and discretion. • Proficiency in Microsoft Office Suite and other relevant tools. • Demonstrated ability to work under pressure and adapt to changing priorities.
