We are seeking a highly organized, proactive Executive Assistant to support the Director of Operations and facilitate smooth communication and execution within the operations team. The role is designed for someone who thrives in a fast-paced, dynamic aerospace manufacturing environment and can serve as a key point of contact to streamline daily operations, field questions, and improve communication flow. The Executive Assistant will play a crucial role in organizing, prioritizing, and coordinating communication within the leadership team, reducing interruptions, ensuring clarity, and supporting the Director’s operational needs. They will also assist in the administration of the input system, time coordination, and leadership team prioritization.

ResponsibilitiesAssist in the administration and organization of the input system, ensuring timely processing of requests and actions.Help track and organize inputs across multiple teams, ensuring seamless communication between operations, engineering, and administrative functions.Maintain an organized system for tracking requests, escalating issues as needed to ensure timely resolution.Manage and prioritize the Director's schedule, ensuring alignment with operational needs and key business priorities.Act as the point of contact for internal team inquiries, fielding questions and organizing them for efficient communication.Reduce interruptions to the Director by managing communications and ensuring only critical matters reach their attention.Schedule and coordinate key meetings and ensure timely follow-up for any open actions.Facilitate internal communication by organizing and streamlining requests and action items between the Director and the management team.Ensure that important updates, project status reports, and key issues are documented and shared with the right stakeholders.Help create and distribute agendas, briefing materials, and meeting notes, ensuring leadership stays on track with priorities.Provide administrative support for the Director, including organizing and maintaining meeting schedules and follow-up on action items.Assist the Leadership team in documenting, tracking, and executing leadership team priorities.Keep the leadership team focused on key objectives by tracking progress and reminding team members of deadlines and action items.Document leadership team goals and priorities, ensuring that they are consistently revisited in meetings to maintain focus.Essential Skills2+ years of experience supporting leadership in aerospace, defense, or technical manufacturing.Proven ability to manage multiple tasks, schedules, and communications with attention to detail and follow-through.Exceptional organizational skills with a high degree of reliability and responsibility.Strong communication skills, both written and verbal, with the ability to handle sensitive information professionally.Proficient in Microsoft Office, Google Workspace, Teams, and digital calendar tools.Additional Skills & QualificationsFamiliarity with aerospace standards and documentation (e.g., AS9100, ITAR) is a plus.Self-starter with ability to bring structure to ambiguous situations.Ability to juggle multiple priorities in a fast-paced environment while maintaining professionalism.Strong interpersonal skills, capable of working across leadership, technical teams, and frontline operations.Comfortable in a small-team environment, with experience working directly with engineers and production staff.Capable of executing both tactically and strategically, understanding when to act quickly and when to seek clarity.Resilient under pressure, maintaining focus and clarity when managing multiple priorities.Bilingual in Spanish a plus but not required Work Environment

Office and manufacturing environment, primarily supporting the Director of Production.

Pay and Benefits

The pay range for this position is $34.00 - $40.00/hr.
