Executive Assistant
Description We are looking for a highly organized and proactive Executive Assistant to provide critical support to the Executive Director in Oakland, California. This contract position offers a hybrid work schedule and requires someone who excels in communication, scheduling, and operational tasks. Ideal candidates will have experience coordinating with Boards of Directors and managing executive-level priorities. Responsibilities: • Coordinate and prepare materials for Board of Directors meetings, ensuring timely follow-up and effective communication. • Schedule and manage internal and external meetings, maintaining accuracy and attention to detail. • Oversee essential operational tasks such as payroll processing and administrative support. • Assist with onboarding processes and act as a key liaison for the Executive Director. • Handle calendar management, including prioritization of appointments and resolving scheduling conflicts. • Arrange and coordinate travel plans, including booking flights, accommodations, and itineraries. • Facilitate executive meetings by preparing agendas, taking detailed notes, and ensuring action items are completed. • Maintain clear and effective communication across all levels of the organization. • Proactively manage multiple tasks and deadlines, ensuring efficient workflow. • Serve as the first point of contact for inquiries and prioritize follow-through on critical matters. Requirements • Minimum of 3 years of experience as an Executive Assistant, supporting senior leadership. • Proven ability to coordinate with Boards of Directors and manage related tasks. • Exceptional written and verbal communication skills, with attention to detail. • Strong organizational skills and ability to multitask in a fast-paced environment. • Proficiency in managing calendars and scheduling appointments. • Experience arranging and coordinating travel plans for executives. • Familiarity with onboarding processes and administrative operations. • Ability to maintain confidentiality and handle sensitive information with discretion.
