Description We are looking for a dedicated and experienced Executive Assistant to provide comprehensive support to our leadership team in Alameda, California. In this long-term contract position, you will play a pivotal role in managing administrative tasks, coordinating schedules, and facilitating communication between executives and key stakeholders. This role requires exceptional organizational skills, attention to detail, and the ability to anticipate needs in a dynamic environment.
Responsibilities:
• Coordinate and prioritize daily administrative support for executive leaders, ensuring seamless operations.
• Serve as the primary point of contact for scheduling meetings, events, and managing communications with stakeholders.
• Manage executive calendars, arrange travel plans, and oversee expense report preparation and reconciliation.
• Provide logistical support for meetings and trainings, including arranging catering, equipment, room setup, and preparing materials.
• Produce and distribute well-crafted documents such as correspondence, agendas, PowerPoint presentations, and meeting minutes.
• Act as a liaison with external partners, agencies, and staff to facilitate program information and administrative coordination.
• Maintain accurate records, including databases, invoices, contracts, and survey data, ensuring efficient documentation processes.
• Recommend improvements to administrative procedures to enhance operational effectiveness.
• Oversee supply management and coordinate purchases with vendors as needed.
• Support special projects by conducting research and summarizing findings to assist executive decision-making. Requirements • Proven experience in executive-level administrative support, with strong calendar management skills.
• Proficiency in tools such as ADP Financial Services, Concur, Cisco Webex Meetings, and CRM systems.
• Exceptional communication skills, both written and verbal, with the ability to interface in a detail-oriented manner with diverse stakeholders.
• Familiarity with budget processes and the ability to manage financial documentation effectively.
• Adept at answering inbound calls and providing prompt, detail-oriented responses.
• Strong organizational and multitasking abilities, with attention to detail and accuracy.
• Experience in creating and managing banners, presentations, and other visual materials.
