Description We are looking for an Executive Assistant with strong attention to detail to support senior leadership within a healthcare-focused organization in Los Angeles, California. In this Contract-to-Permanent position, you will play a critical role in enhancing organizational efficiency by managing schedules, coordinating communications, and ensuring seamless execution of executive-level responsibilities. This role requires adaptability, a high level of professionalism, and a commitment to upholding the company’s mission and values.
Responsibilities:
• Manage complex calendars and schedules to optimize executive time, including arranging meetings and appointments.
• Coordinate and book travel arrangements, ensuring accuracy and efficiency in itineraries.
• Serve as a liaison between executives and internal teams, fostering clear communication and collaboration.
• Prepare documentation and reports for board meetings, and actively participate in these sessions.
• Assist with executive correspondence, ensuring timely and well-organized responses.
• Monitor and prioritize incoming requests to ensure urgent matters are addressed promptly.
• Support organizational initiatives by maintaining detailed records and documentation.
• Collaborate with other team members to resolve conflicts and foster a positive working environment.
• Adapt to dynamic situations and evolving priorities with flexibility and efficiency.
• Handle additional administrative tasks as assigned to meet organizational needs. Requirements • Proven experience as an Executive Assistant or similar administrative role.
• Strong proficiency in managing calendars and scheduling appointments.
• Expertise in coordinating travel arrangements, including booking flights and accommodations.
• Excellent organizational skills with a keen attention to detail.
• Effective written and verbal communication abilities.
• Ability to handle confidential information with discretion and professionalism.
• Demonstrated ability to adapt to changing priorities and work in a dynamic environment.
