Description We are looking for a detail-oriented Executive Assistant to support senior leadership in an architecture firm based in Raleigh, North Carolina. This Contract-to-permanent position is ideal for someone who thrives in a fast-paced environment and excels in managing executive schedules, coordinating travel, and overseeing meeting logistics. The role requires exceptional organizational skills and the ability to handle sensitive information with discretion.
Responsibilities:
• Oversee and maintain the executive's calendar, ensuring all appointments and meetings are accurately scheduled.
• Arrange domestic and international travel plans, including flights, accommodations, and transportation.
• Coordinate travel itineraries to align with business priorities and ensure seamless travel experiences.
• Prepare materials and agendas for executive meetings, ensuring all required documents are ready in advance.
• Act as the primary point of contact for internal and external stakeholders, managing communication effectively.
• Monitor deadlines and follow up on action items to support the executive's objectives.
• Handle confidential information with the utmost professionalism and discretion.
• Assist in organizing special events or company functions as needed.
• Collaborate with other team members to ensure smooth day-to-day operations.
• Provide general administrative support, including document preparation and correspondence. Requirements • Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
• Strong skills in calendar management, travel arrangements, and meeting coordination.
• Exceptional organizational abilities with keen attention to detail.
• Proficiency in using office software such as Microsoft Office Suite and scheduling tools.
• Ability to communicate effectively with diverse teams and external partners.
• Demonstrated ability to handle sensitive and confidential information with discretion.
• Adept at multitasking and prioritizing tasks in a dynamic environment.
