Description We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to senior leadership. This Contract position is based in Oakland, California, and involves managing schedules, coordinating travel, and facilitating communication with key stakeholders. The ideal candidate thrives in a dynamic environment and is capable of handling sensitive tasks with efficiency and attention to detail.
Responsibilities:
• Manage and maintain the executive’s calendar, scheduling donor meetings and high-priority commitments with precision.
• Coordinate all aspects of travel, including booking flights, arranging accommodations, and preparing detailed itineraries.
• Prepare for meetings by creating agendas, organizing necessary materials, and ensuring smooth logistics for travel-related discussions.
• Assist with special projects to support the executive’s workload and broader organizational goals.
• Act as the primary point of contact between the executive and internal or external stakeholders, ensuring timely and clear communication.
• Address challenges proactively and adapt to shifting priorities with minimal supervision.
• Organize and manage correspondence, prioritizing follow-ups and ensuring deadlines are met.
• Ensure confidentiality and attention to detail in all interactions and tasks. Requirements • Extensive experience as an Executive Assistant supporting senior or C-level executives, preferably in donor-facing environments.
• Proven expertise in managing complex calendars, travel arrangements, and high-level meetings.
• Strong attention to detail and the ability to execute tasks with minimal guidance.
• Proficiency with productivity tools and software used for scheduling and document management.
• Excellent communication and organizational skills, with a detail-oriented approach.
• Flexibility to adapt to changing schedules and priorities in a fast-paced environment.
• Willingness to comply with Livescan and TB testing requirements, if necessary.
• Ability to work in a hybrid model, with in-office days on Tuesdays, Wednesdays, and Thursdays, and remote work on Mondays and Fridays. TalentMatch®
