Description We are looking for a highly organized and proactive Executive Assistant to support our leadership team in Manhattan Beach, California. This Contract-to-Permanent position offers the opportunity to contribute to the success of the organization by ensuring seamless executive operations. The role involves managing administrative tasks, coordinating schedules, and fostering efficient communication across the team.
Responsibilities:
• Provide comprehensive administrative support to the Chief Executive Officer and executive management team to facilitate smooth operations.
• Manage and organize calendars, schedule meetings, and coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
• Draft and prepare correspondence, reports, presentations, and other documents on behalf of the executive team.
• Anticipate needs and proactively address challenges with effective solutions.
• Facilitate internal and external events, such as board dinners and company functions, by coordinating logistics and ensuring seamless execution.
• Maintain organized communication channels to prioritize and streamline information for executives.
• Assist with Salesforce data entry, updates, and reporting as needed.
• Respond promptly to calls, texts, and inquiries, ensuring timely resolutions.
• Support special projects and tasks as assigned to contribute to organizational goals.
• Foster a culture of accountability by representing the organization’s mission, vision, and values in all interactions. Requirements • Proven experience as an Executive Assistant or similar role supporting senior executives.
• Exceptional organizational skills with the ability to manage multiple priorities effectively.
• Strong problem-solving abilities and a proactive approach to tackling challenges.
• Excellent verbal and written communication skills.
• High level of discretion and judgment in handling sensitive information.
• Proficiency in Microsoft Office Suite; experience with Salesforce is preferred.
• Ability to work independently in a fast-paced environment and meet tight deadlines.
