Executive Assistant
Description We are looking for a meticulous Executive Assistant to provide high-level administrative support to the CEO for a growing company in Calistoga, California. This Contract position requires someone who can manage schedules, coordinate meetings, and handle sensitive information with discretion. The role offers an opportunity to contribute to operations and projects through effective organization and communication. Responsibilities: • Provide comprehensive administrative support to the CEO, including drafting, proofreading, and editing correspondence, reports, and presentations. • Organize and maintain the calendar, scheduling appointments, meetings, and events while ensuring optimal time management. • Coordinate meeting logistics by preparing agendas, gathering necessary materials, and briefing the CEO in advance. • Record detailed minutes during meetings, track action items, and ensure timely follow-up on responsibilities. • Act as a liaison to build and maintain collaborative relationships across departments and with external stakeholders. • Conduct research and compile data to support special projects, briefings, and decision-making processes. • Assist in the planning and implementation of initiatives led by the office. • Manage sensitive and confidential information with the utmost discretion and professionalism. Requirements • Proven experience as an Executive Assistant or in a similar administrative role. • Strong skills in calendar management, including scheduling and prioritizing appointments. • Proficiency in coordinating and arranging travel plans, including booking flights and accommodations. • Ability to prepare agendas and organize executive meetings with attention to detail. • Excellent written and verbal communication skills for drafting and editing documents. • Demonstrated ability to handle confidential information with discretion. • Strong organizational and time management skills to manage multiple tasks effectively. • Proficiency in Microsoft Office Suite and other relevant software for administrative tasks.
