Executive Assistant
Description We are looking for an experienced Executive Assistant to join our client's team in Portland, Oregon. In this long-term contract role, you will provide critical support to senior leadership by managing daily operations and streamlining administrative tasks. Responsibilities: • Coordinate and manage executive calendars, ensuring efficient scheduling of meetings and appointments. • Prepare and organize materials for executive meetings, including agendas, reports, and presentations. • Oversee day-to-day office functions to maintain smooth operations and a well-organized environment. • Handle administrative tasks such as document management, correspondence, and data entry with accuracy. • Answer inbound calls, providing thoughtful responses and redirecting inquiries as needed. • Greet and assist guests, ensuring they feel welcomed and directed appropriately. • Screen and manage phone calls, connecting stakeholders with the appropriate contacts. • Collaborate with various teams to ensure alignment on administrative priorities and deadlines. Requirements • Minimum of 5 years of experience in an Executive Assistant or similar administrative role. • Proven expertise in managing calendars and scheduling for senior leadership. • Strong organizational skills with the ability to prioritize tasks effectively. • Excellent verbal and written communication abilities. • Proficiency in office software and administrative tools. • Detail-oriented approach with a commitment to confidentiality and discretion. • Ability to multitask and adapt in a fast-paced environment. • Experience in handling inbound calls and guest interactions.
