Executive Assistant
Description We are looking for a dedicated and detail-oriented Executive Assistant to provide high-level support to two executives in the financial services industry. This long-term contract position is based in Washington, District of Columbia, and requires exceptional organizational skills, proactive communication, and the ability to manage competing priorities effectively. Responsibilities: • Maintain and manage complex calendars for two executives, ensuring seamless scheduling and time management. • Coordinate and arrange comprehensive travel plans, including booking flights, accommodations, and transportation. • Organize and facilitate executive meetings, both in-person and virtual, ensuring all logistics are handled professionally. • Prepare and deliver daily summaries to both executives, keeping them informed of schedules, priorities, and updates. • Conduct regular check-ins with the executives throughout the day to address any arising needs or changes. • Handle travel-related expenses and documentation, ensuring accurate and timely processing. • Collaborate with internal teams to streamline communication and ensure smooth operations. • Act as the primary point of contact for scheduling and logistics inquiries. • Ensure confidentiality and professionalism in all interactions and documentation. • Monitor and adapt to shifting priorities, maintaining flexibility and composure under pressure. Requirements • Proven experience as an Executive Assistant or in a similar role supporting senior executives. • Strong proficiency in managing complex calendars and scheduling systems. • Demonstrated ability to coordinate and arrange intricate travel plans with attention to detail. • Excellent communication skills, both written and verbal, with a detail-oriented approach. • Familiarity with facilitating virtual and in-person meetings, including preparation and follow-up. • Adept at handling expense reports and travel-related documentation accurately. • Exceptional organizational and time management skills, with the ability to multitask effectively. • High level of discretion and confidentiality when dealing with sensitive information.
