Job Title: Executive Assistant to CEO (Venture Capital Firm)
Location: Remote (Initial 2-week onsite training in Philadelphia, PA + Monthly travel to Washington, DC)
**Employee (you!) Location: Philadelphia or Bucks County, PA. ***You must live here as this is where training and other projects are done. You will have to be onsite here at times***
Job Type: Temporary Contract (90 days with possible extension or permanent offer based on performance and business need)
Schedule: On-Call | Flexibility Required Between 6:00 AM – 10:00 PM EST
Travel: Required (Expenses Covered)
About the Role
A dynamic and fast-paced venture capital firm is seeking a highly organized and responsive Executive Assistant to support the CEO. This is a critical, high-visibility position responsible for managing the CEO’s complex calendar and global travel logistics. The ideal candidate thrives in a fast-paced environment, is flexible with their schedule, and is able to juggle multiple responsibilities throughout the day with precision and energy.
This is a 90-day temporary contract with strong potential for extension or even a permanent offer, as the current Executive Assistant is being promoted internally.
Key Responsibilities
+ Provide comprehensive administrative support to the CEO with a focus on meticulous calendar management across multiple international time zones (e.g., USA, UK, etc.).
+ Coordinate all domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.
+ Travel monthly to Washington, DC (typically for a few days to one week) to support the CEO in person; all travel expenses will be fully covered.
+ Attend and help coordinate virtual and in-person meetings, events, and executive-level gatherings.
+ Interact regularly with the broader executive team and stakeholders across different time zones and offices.
+ Respond to urgent requests promptly during on-call hours (between 6:00 AM – 10:00 PM EST).
+ Be available for late evening calls or last-minute requests from the CEO as needed.
+ Support event coordination and logistics, including agendas, materials, and vendor communications.
Requirements
Qualifications
+ Proven experience supporting a C-level executive, preferably within a venture capital, private equity, or fast-paced entrepreneurial environment.
+ Exceptional calendar management skills with a track record of juggling international schedules.
+ Strong travel coordination experience (air, hotel, ground), ideally across time zones and countries.
+ High level of discretion, professionalism, and judgment in handling confidential information.
+ Strong written and verbal communication skills.
+ Tech-savvy with proficiency in tools like Google Workspace, Microsoft Office, Zoom, Slack, etc.
+ Ability to stay calm under pressure and work with high energy and urgency.
+ Must be self-directed, detail-oriented, and able to manage work while balancing normal day-to-day routines.
+ Flexible and able to thrive in an “on-call” work style where the hours vary throughout the day.
Additional Details
+ Training: First two weeks will be onsite in Philadelphia, PA for training and onboarding.
+ Travel: Monthly in-person travel to Washington, DC (up to one week at a time) is required.
+ Compensation: Fair and competitive hourly compensation based on actual time worked.
+ Growth Opportunity: Contract may be extended or transitioned to a permanent role based on performance and business needs.
