Description We are looking for an experienced Executive Assistant to provide dedicated support to the President and Board of Trustees in a fast-paced environment. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs while managing complex schedules and relationships. The ideal candidate will excel in a dynamic setting, ensuring smooth operations and effective communication at all levels.
Responsibilities:
• Manage the President’s calendar with precision, prioritizing appointments and resolving scheduling conflicts to ensure efficient daily operations.
• Prepare the President for meetings, conferences, and presentations by anticipating needs and providing relevant materials in advance.
• Act as the liaison between the Board of Trustees and the organization, coordinating logistics for board meetings, retreats, and events while maintaining detailed records and documentation.
• Draft agendas, compile presentation materials, and accurately record meeting minutes to support effective board governance.
• Oversee the electronic board governance portal, managing content updates, meeting materials, and archival processes.
• Facilitate communication and documentation of annual board election processes and conflict-of-interest disclosures.
• Coordinate and manage meetings for the Senior Leadership Team, ensuring agendas and materials are prepared and logistics are handled.
• Book travel arrangements, including flights, accommodations, and itineraries, while resolving any travel-related issues.
• Support the creation and distribution of presentations and reports for executive-level meetings.
• Handle additional administrative duties as needed to maintain smooth organizational operations. Requirements
• At least 5 years of experience as an Executive Assistant supporting senior leadership, specifically a C-Level Executive.
• Proficiency in calendar management tools and the ability to handle complex scheduling.
• Strong communication skills, both written and verbal, with a detail-oriented demeanor.
• Advanced knowledge of tools such as Cisco Webex Meetings, Concur, and other organizational platforms.
• Demonstrated ability to book and manage travel arrangements, including itineraries and accommodations.
• Skilled in preparing presentations and meeting materials with attention to detail.
• Experience coordinating board governance processes and maintaining accurate documentation.
• Ability to manage confidential information with a high level of discretion and attention to detail.
