Executive Assistant
Description We are looking for an experienced and detail-oriented Executive Assistant to provide comprehensive administrative and operational support for a variety of internal programs, committees, and events. This position is based in Las Vegas, Nevada, and offers a Contract to permanent opportunity within the dynamic real estate industry. The ideal candidate will excel at multitasking, event coordination, and committee management while ensuring seamless execution of executive-level projects. Responsibilities: • Act as the primary administrative liaison for assigned committees, preparing agendas, meeting materials, and tracking attendance. • Coordinate logistics for committee initiatives, including speaker submissions, swag orders, and budget monitoring. • Oversee the management and compliance updates of organizational forms, ensuring timely revisions and proper distribution. • Lead biannual form update cycles, working with internal teams to finalize changes and communicate updates. • Facilitate annual programs such as awards recognition and leadership appointments, ensuring policy compliance and effective communication. • Provide on-site support for major events, including setup, logistics, and volunteer coordination. • Manage supply orders, catering arrangements, and executive project research to support day-to-day operations. • Collaborate with internal departments, such as marketing, to ensure smooth execution of committee and organizational needs. • Assist in planning and executing staff appreciation initiatives, including holiday events. • Support executive meetings and Board of Director sessions with full-day on-site logistical assistance. Requirements • Proficiency in Microsoft Word and Microsoft Excel for document preparation and data tracking. • Previous experience in customer service or administrative roles, demonstrating strong organizational skills. • Ability to manage events, ranging from corporate functions to formal occasions. • Expertise in coordinating executive meetings and presentations. • Strong data entry skills with a focus on accuracy and efficiency. • Exceptional multitasking capabilities, particularly in dynamic environments. • Proven ability to work collaboratively across departments and with external vendors. • Experience in handling logistics for large-scale events and programs.
