Job Description

What we expect of you, day to day:

• Provide comprehensive executive support to the Regional Managing Director of the FBL cluster.

• Coordinate, schedule, and manage calendars, meetings, and appointments, ensuring detailed preparation and timely communication.

• Make and oversee travel arrangements, including flights, accommodations, and itineraries, use Visa systems for bookings and expense reporting.

• Organise executive visits and events, including handling calls, responding to emails, and liaising with clients and internal stakeholders.

• Prepare and maintain internal and external documents for both team members and industry partners.

• Develop and maintain electronic and paper filing systems to ensure easy access and confidentiality of sensitive information.

• Uphold the highest level of discretion when handling confidential and sensitive matters.

• Build trust and strong working relationships with the FBL leadership team and central functions in London.

• Anticipate the RMD’s needs by proactively preparing briefs, documents, and presentation materials ahead of key meetings.

• Provide pro-active calendar management, ensuring the RMD is aware of all upcoming commitments and any necessary preparation.

 

This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.

Qualifications

• Significant experience in a Personal Assistant/Executive Assistant role.
• Bilingual French and English, as the role involves daily communication in both languages.
• Adaptable to change management within a fast-paced corporate environment.
• Excellent judgement and professionalism in all written and verbal communication.
• Ability to maintain strict confidentiality regarding sensitive information.
• Effective and efficient in multi-tasking, prioritising workload, and meeting deadlines.
• Consistently demonstrates a customer service focus and thrives in collaborative team settings.
• Strong organisational, project management, and problem-solving skills, with exceptional attention to detail.
• High proficiency in Microsoft PowerPoint, Excel, Word, and Outlook.
• Professional and approachable demeanour with outstanding interpersonal abilities.
