About the Role & Team
Executive Assistant will provide direct support to the SVP Country Manager based in Poland and deliver high-level, professional day-to-day administrative support.
All-round support: manage and control the flow of information, set priorities and initiate action where necessary in a pro-active way.
This role will require you to be working 4 days a week in our office and 1 day from home.
What will you do
Provide full administrative support to the Country Manager including phone, calendar, day-to-day appointments, expenses, correspondence and others
Ensure an appropriate level of confidentiality is maintained
Collaborate with other TWDC offices, including EMEA headquarters
Booking and arranging travel, transport and accommodation
Keeping deadlines, typing, compiling and preparing reports, presentations and correspondence
Implementing and maintaining procedures/administrative systems including SAP invoice processing and T&E reports
Assist in planning large, high-profile events like town halls, off-sites, and team-building activities
Maintain databases and distribution lists
Interface directly with other senior executives and their support teams
Required Qualifications & Skills
Bachelor degree
Fluent in Polish and English languages
Knowledge of Russian language will be an additional asset
Minimum five years of experience providing administrative-level support
Knowledge of SAP and Concur will be an additional asset
Strong attention to detail in managing calendar windowing, travel time, and attendee confirmation for meetings
Ability to work professionally as a team player with a positive attitude in a fast-paced environment, and maintain a high-level of confidentiality
Self-motivated and interested in contributing above and beyond basic job duties
Proactive problem-solving skills
Ability to accommodate collaborations across different time zones
Excellent interpersonal skills with effective verbal and written communication expertise for the interface at all levels, internally and externally
Proficient in using various types of computers, phones, office equipment, and Microsoft Office applications
Ability to multi-task and prioritize workflow in a fast-paced environment
Ability to build professional relationships and collaborate with stakeholders and vendors
Knowledge of the workings of a media enterprise is a plus
