Description We are looking for an experienced Executive Assistant to provide comprehensive support to senior leadership in a dynamic, fast-paced environment. Based in Dallas, Texas, this role involves managing complex schedules, coordinating travel arrangements, and ensuring seamless communication across multiple time zones. This is a long-term contract position offering the opportunity to work closely with executives and contribute to the overall efficiency of the leadership team.
Responsibilities:
• Manage and maintain executive calendars, ensuring all appointments, meetings, and events are accurately scheduled.
• Coordinate domestic and international travel arrangements, including booking flights, accommodations, and transportation.
• Prepare and submit expense reports using Workday, ensuring timely and accurate processing.
• Collaborate with other Executive Assistants to streamline scheduling and operational tasks.
• Communicate effectively with executives to understand priorities and address any scheduling conflicts.
• Provide administrative support to the leadership team, including document preparation and correspondence.
• Utilize Egencia to book and manage travel plans efficiently.
• Ensure alignment across time zones to support executives traveling globally.
• Assist in onboarding and training processes as necessary for new team members.
• Maintain a high level of attention to detail in all tasks to ensure accuracy and professionalism. Requirements • Proven experience in executive-level administrative support, preferably in a service-oriented industry.
• Proficiency in Google Calendar for managing complex schedules.
• Familiarity with Workday for expense reporting and Egencia for travel arrangements.
• Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
• Strong attention to detail and commitment to accuracy.
• Ability to communicate clearly and professionally with executives and team members.
• Comfortable working across multiple time zones to accommodate leadership needs.
