Administrative Coordinator
Description Are you an organized, dynamic multitasker with a passion for keeping operations running smoothly? We are seeking an enthusiastic Administrative Coordinator to join our team and provide crucial support at the front desk and beyond. In this role, you will help drive efficiency across administrative functions while delivering a professional and welcoming experience for visitors and team members. Key Responsibilities: Administrative Support: + Manage executive calendars with precision, including scheduling meetings and appointments. + Book and coordinate travel arrangements and ensure seamless logistics for domestic or international travel. + Handle administrative tasks such as printing timecards, preparing documentation for supply chain teams, and managing certificates of analysis. + Assist with basic HR functions (e.g., ensure timecards are completed by employees — no extensive HR responsibilities required). Reception Duties: + Reside at the front desk to greet and direct visitors warmly to the appropriate destination. + Answer and direct phone calls professionally, assisting with inquiries as needed. Coordination & Documentation Support: + Prep shipping materials, including packing lists and related documentation. + Support supply chain personnel by organizing and preparing materials for internal processes. + Use Microsoft Office Suite to create and manage documents, ensuring accuracy and professionalism. Team Collaboration: + Work closely with multiple departments to facilitate smooth communication and workflow. + Be open to training on team software and systems. Required Skills & Qualifications: Core Administrative Skills: + Demonstrated experience in calendar management, travel coordination, and general office administration. + Solid working knowledge of documentation preparation and management processes. Technical Proficiency: + Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). + Comfortable learning new systems and software with provided training. Personal Attributes: + Strong organizational skills with excellent attention to detail. + Professional demeanor with outstanding communication skills, both verbal and written. + A welcoming, approachable personality for front desk and visitor interactions. + Ability to multitask effectively in a dynamic work environment. + Proactive and adaptable mindset with a willingness to assist wherever needed. Preferred Qualifications: + Experience in reception or front desk roles. + Familiarity with supply chain processes or documentation. + Basic understanding of HR or administrative workflows is a plus. Requirements • Minimum of 3 years of experience as an Administrative Assistant, Front Desk Coordinator, or in a similar administrative role. • Proficient in arranging travel and managing logistics for executives. • Strong command of Office 365 applications, including Word, Excel, and PowerPoint. • Experience with handling switchboards and managing phone systems efficiently. • Familiarity with Human Resources administrative processes and documentation. • Knowledge of shipping procedures and supply chain management. • Excellent organizational skills with the ability to handle multiple priorities. • Strong communication skills and attention to detail in all tasks.
